PublicationFlow connects the production work that usually lives in separate spreadsheets, emails, flatplans, layout files, and billing notes.
PublicationFlow started with a problem Yaakov, our founder, knew personally. As a graphic artist, he was laying out ad-heavy publications manually, page by page. When a late ad came in or a customer changed placement, he had to shift page after page just to keep the issue together.
The first version was built to solve that layout pressure. As publishers began using it, their requests shaped the system further: reservation lists, recurring bookings, customer history, proofing, private reminder emails, invoicing, Xero exports, payment workflows, and activity tracking that now work together in one production workflow.
It is intentionally feature-rich and offline. That means it can keep working when the internet does not, while still handling the serious jobs publishers need: automatic ad placement, directory section logic, page layout previews, credit card workflows, billing, InDesign output, and more. It can also support multiple people in multiple locations.
PublicationFlow is built for magazines, shoppers, directories, and community publications that sell a lot of ads and need every ad to land in the right issue, size, section, page, and invoice.
Instead of treating sales, production, proofing, layout, and billing as separate jobs, PublicationFlow keeps the same reservation data moving through the whole publication workflow.
The system is especially useful when each issue has dozens or hundreds of ads and the production team needs a practical way to preview the flatplan, place ads, create editable InDesign files, and keep billing tied to the production record.
Book one issue or several at once, choose whether the same ad or page repeats, and keep every advertiser tied to the right issue.
Plan the issue, place ads manually or with the placement algorithm, then create the book instead of laying out every page by hand.
For business directories, place ads by category and alphabetically, with section headers added automatically when needed.
Preview ads, enlarge artwork, find ads that are not placed, and see warnings when expected ad files are missing.
Auto-fill pricing from ad size, apply customer discounts, send invoices, export to Xero, and process card payments with secure tokens.
Open a customer and see the full advertising history, notes, package status, activity, and billing preferences in one place.
Preview ad placement, page flow, ad sizes, and issue structure before final production begins.
Keep advertiser reservations, artwork status, placement details, proofing, and billing tied together.
Turn booked ads into production-ready flatplans, placement records, InDesign output, and invoices.
Create editable InDesign output from structured ad, flatplan, and production data.
Keep billing connected to the same ad reservation and issue-production data used by the team.
Support local magazines, shoppers, directories, and niche publications with ad-heavy issues.
